Privacy Policy
Last updated: 9 July 2026. This explains what personal information NexusAC collects, why, and what your rights are.
Who we are
NexusAC ("we", "us") arranges air conditioning surveys, installations and repairs across the UK through vetted, F-Gas certified engineers. For UK GDPR purposes we are the data controller for the information described below. Contact: [email — add before launch].
What we collect and why
- Quote & booking details — your name, contact details (email or phone), postcode, and your answers about your property (rooms, electrics, access). We use these to produce your estimate, arrange your survey, and match you with a local installer. Legal basis: taking steps at your request before entering a contract.
- Survey photos and videos — images of your property you choose to upload (consumer unit, rooms, outdoor areas). We use these solely to prepare and quote your installation. They are stored privately and are never made public. Legal basis: taking steps at your request before entering a contract.
- Repair requests — your contact details and a description of the fault, used to arrange an engineer visit.
- Installer applications — name, company, certification number and coverage area, used to verify and onboard engineers.
Advertising and cookies
We advertise on Meta platforms (Facebook and Instagram). To measure whether our adverts work, we may use the Meta Pixel and similar tools on this site. These tools are only set with your consent, which we ask for via a cookie banner before any advertising cookie is placed. If you consent, Meta receives information about your visit (such as pages viewed and actions like requesting an estimate), which Meta may link to your Meta account under its own privacy policy. We never send Meta your survey photos, property details or the contents of your enquiry.
You can withdraw consent at any time via the cookie banner, control ad preferences in your Meta ad settings, and clear cookies in your browser. Declining advertising cookies never affects your ability to use this site, get an estimate or book a survey. Essential cookies (those needed to make the site work) do not require consent and store no marketing data.
We do not sell personal information.
Who we share it with
- The engineer assigned to your job — they receive the details needed to carry out your survey or install (name, address, access notes, relevant photos). They do not receive your payment details.
- Service providers that run our systems — website hosting (Netlify), our booking database (Airtable), email delivery (Resend), secure file storage (Supabase), and — when payments launch — payment processing (Stripe). Each processes data only on our instructions.
- Meta Platforms (Facebook/Instagram) — only if you consent to advertising cookies, and only measurement data as described above.
We never sell your data, and we don't share it with anyone else unless required by law.
How long we keep it
- Quote enquiries that don't proceed: deleted within 12 months.
- Completed installations: kept for the warranty period plus statutory record-keeping requirements (including F-Gas records we are legally required to hold).
- Survey photos for jobs that don't proceed: deleted within 12 months.
Your rights
Under UK GDPR you can ask us to: access the personal data we hold about you, correct it, delete it, restrict how we use it, or provide it to you in a portable format. To exercise any of these, contact us at [email — add before launch]. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).
Security
All traffic to this site is encrypted (HTTPS). Personal data is stored with established providers, access is restricted, and uploaded photos are held in private storage accessible only via short-lived secure links. We keep no payment card details — when payments launch they will be handled entirely by Stripe, a PCI-DSS Level 1 provider.
